Notify winners
What this chapter covers
Once you've confirmed your winners in the draw, it's time to send a congratulations DM and collect details like shipping addresses. Everything happens on one screen: writing the message, sending the DM, the info-collection form, checking responses and deleting personal data.
14.1Before you start
- You need to confirm the winners in Event Draw first. Until then, the sending screen stays empty.
- **'Allow access to messages'** must be turned on in the Instagram app for DMs to be sent. → Auto DM
- DMs can only be sent within 7 days of the comment. If you draw and send too late, some winners won't be reachable.
14.2Step-by-step guide
Prepare the message and form
Go to 'Set up sending' above the winner list. On this screen, you write the message for winners and choose what to send with it.
Message field
- Message: Write your congratulations message. A default message is already filled in, so you can use it as is or edit it.

Conma form toggle and form preview
- 'Send a CONMA form too': Turn this on to collect the details needed to ship prizes through a form. Click 'Create form' to open the settings.

External link toggle and URL field
- 'Send an external link too': If you already use a Google Form or an info page, enter the button name and URL to send it along.

Save when you're done. You can't move on to sending without saving.

Winner sending setup screen

Collect info with a Conma form
Winner info form settings
No need to build a separate Google Form or Naver Form. Conma handles everything from privacy consent to automatic deletion. As you set things up on the left, the preview on the right shows what winners will see in real time.

Fields to collect
Fields to collect
Name and phone number are included by default. Add shipping address, resident registration number and email with the buttons. Use 'Add custom' to create any field you need (e.g. size), and set whether each field is required and its help text.

Consent & retention
Consent & retention
For consent to the collection and use of personal information, use the Conma template or write your own. This text is the detailed policy that expands when a winner taps '>' next to the consent item. Set a data deletion date (required), and the data is deleted automatically the day after.

You can also turn on two optional consents.
- Third-party sharing consent: Collect this when you need to pass the information to another company, for example when a sponsor ships the prize directly.
- Marketing consent: Collect this if you want to use the info later for promotions like events or discounts.
Preview with third-party sharing and marketing consent added
Use the preview on the right to see exactly what winners will see.

Submission screen settings
Completion screen message settings
Set the final message winners see after submitting. The preview on the right shows the actual completion screen they'll see.

Send the DM
Number of sendable winners and the Send button
Click 'Send' to open a confirmation window. The DM goes only to winners who can receive it, and anyone already sent to is skipped automatically, so no one gets it twice.

Winners tab and Excluded after sending tab
After sending, each winner gets a status.

| Status | Meaning |
|---|---|
| Sent | The DM was sent |
| Pending | The DM is being processed |
| Manual needed | Conma can't send it, so you'll need to send it yourself |
| Not sent | Not sent yet |
DM recipient list

Because of Meta's policies, Conma sometimes can't send a DM. This happens when more than 7 days have passed since the comment was posted, or when a DM has already been sent for that comment. Only one DM can be sent per comment. A DM also can't be sent if the original comment was deleted.
Send manually (winners left as 'Manual needed')
For winners Conma can't reach, just send the DM yourself on Instagram. You don't need to retype the message. You can copy it straight from the list. Handle each winner one at a time, in this order.
Send status filter showing the count for each status
- In the send status filter above the list, select only 'Manual needed'. Only the people you need to message yourself will remain, so no one gets missed.

2. Click 'Copy message' in that row. This copies the complete message: the body saved in your send settings, plus that winner's own form link and any external links. 3. Click 'Open Instagram' in the same row to open that account in a new window. Clicking the username opens it too. 4. Paste the message into the Instagram DM window and send it. 5. Come back to Conma and click 'Mark as sent'. The status changes to 'Sent', so the list matches what actually happened.
Manual needed row

The three action buttons in a Manual needed row

Each person gets a different form link. If you copy one person's link and send it to several people, their information will go into someone else's form. Always copy the message separately from each row.
A few more tips that make things easier.
Copy usernames button above the list
- To handle several people at once, use 'Copy usernames in current list' above the list. It copies the usernames of all winners currently shown, in the format
@username,@username. It's handy for keeping a note of who you need to message.

- If you clicked Mark as sent by mistake, undo it with 'Mark as not sent'. Only the status changes back. A DM that was already sent is not recalled.
- You can mark winners in 'Manual needed' as sent even before running the send. Use this when you've already contacted them outside Conma.
- 'Copy message' is available only after you save your send settings, because the message is built from the saved settings. If your event includes a form but the link is missing, check that the form is turned on in your send settings.
- People whose win was canceled after the DM was already marked as sent stay visible in the 'Removed after sending' tab. In that tab, you can only use 'Open Instagram'. If no one falls into this group, the tab isn't shown at all.
What winners see
Winners open the form using the link they received by DM. It opens right away without logging in, and the screen follows the settings you chose.
- Only the fields you turned on are shown, and required fields are marked. Resident registration numbers are masked as they're typed.
- Winners review the privacy consent and submit.
- The screen changes depending on the status: Open / Submitted / Deadline passed.
The form screen where winners enter their information

Checking and deleting responses
Check the information winners submitted in 'Responses'. Open it from the draw detail screen or from 'Responses' on a list card.
- See the submission status (submitted / total) and responses in a table. Status badges show Submitted, Not submitted, or Expired.
- Excel download: Only the owner account can download it. Full resident registration numbers are shown only in this Excel file.
- Data deletion: Delete it yourself, or it's deleted automatically the day after the scheduled deletion date. Deleted data can't be recovered, and a deletion record is kept.
- Click 'View people to be deleted' in the deletion confirmation window to open the list of winners whose data will be deleted. You can check their usernames and submission dates before you proceed.
- If new responses come in after deletion, the download and delete buttons turn back on. People whose data was already deleted show as 'Deleted' in the 'Form submission' column.
Winner responses screen

Conma keeps personal information safe. You set the collected fields, consent, and deletion date in the form, and deletion can't be undone. Deletion removes all information submitted up to that point at once. Deleting only selected entries isn't available yet.
14.3Wrapping up
The notification DMs sent to winners stay in the conversation in your DM Inbox, so you can keep handling any follow-up questions there.
Collected personal information is deleted automatically on the scheduled deletion date, and you can also delete it yourself before then.
